Editing Citations

Occasionally a fully approved citation will contain an error, and will need to be sent back for corrections (hey, nobody's perfect!). In such instances an Edit Citation task will need to be completed. An Edit Citation task can be created from the New Task drop-down box in the image above. When the task is opened, the Mapper will ask you to 'Select a citation to edit'. You can search by Citation Reference, Citation/Mandate ID, Control ID, Guidance, or Control Name.

The easiest way to search for a citation to edit is by Citation/Mandate ID. You can find this information in citation hierarchy. Simply locate the citation that you want to edit, copy the Citation ID from the beginning of the citation into the Citation/Mandate ID field and click the Search button.

For this example, let's assume that we want to edit Section (A) ¶ 2 Bullet 8. You will notice a number at the beginning of the citation, this is the Citation ID. Enter this information into the corresponding search field, as displayed below.

You will notice that the tagged citation with corresponding control match appears. Click on the circle below the citation to confirm that this is the citation that you want to edit and click Submit.
*Warning – When editing a citation with multiple mandates you will need to decide if you need to edit a single mandate or if the entire citation needs to be edited. When editing an entire citation you can tick the circle next to the overarching Citation Reference. When editing a single mandate however, you will need to carefully review the tagging and matching to ensure that you select the correct mandate to edit.
After you have selected the citation that you want to edit the Mapper will ask if you want to edit the Reference/Guidance/Tagging, or if you want to edit the Control Matching. If you select Reference/Guidance/Tagging the task will revert to a Map a Citation task whereas if you select Control Matching the task will revert to a Citation Matching task. Make your edit in one of these tasks. When approved the citation will change to reflect your edits.

*Mapping Tip – If you want to edit a citation's tagging, select the Control Matching option. It is quicker to send a matching task back to tagging than it is to re-map the citation from scratch. Matching tasks can be sent back to tagging by selecting yes when prompted at the beginning of the matching task.
